Welcome to our Wellbeing in the Arts support page. As Spotlight members, your mental health and wellbeing are paramount to us, which is why we’ve partnered with Wellbeing in the Arts, a specialist in providing tailored mental health support to the creative community.
Through our Membership Assistance Programme, commencing on the 1st of February 2025, every one of you – whether you’re an active Spotlight member, a Tagmin customer, or a Talent Systems Europe Ltd employee – will have access to a range of invaluable services designed with your unique needs in mind.
Here’s a snapshot of what you can expect:

Eligibility: Open to those over 18 who are active members or employees within the Spotlight community and residing in, or temporarily working in, the UK, Channel Islands, Isle of Man, Republic of Ireland, or Europe as defined.

Support Services: You’ll have access to up to six sessions of counselling or coaching annually; financial, legal, and practical advice; workshops, talks, and events, plus a wealth of printed and online resources.

Introduction to Services: We’ll provide online and in-person introductions to the support available, ensuring you’re fully aware of how to benefit from these services.

Qualified Practitioners: Our counsellors and coaches are UK-based professionals, registered with BACP or UKCP, and fully insured, guaranteeing you receive ethical and professional support.

Flexible Sessions: We offer 50-minute sessions that fit around your unique lifestyle, with arrangements that respect your other commitments.

Who are Wellbeing in the Arts?
Wellbeing in the Arts provide mental health and wellbeing support to the creative industries by offering access to counselling, coaching, wellbeing practitioners, workshops, mental health first aid training, and much more. www.wellbeinginthearts.org.uk.
What support can I access?
You are entitled to access up to six online counselling or coaching sessions per calendar year, as well as a range of other benefits that include financial, legal and practical advice, exclusive workshops, wellbeing assessments, online resources, and much more.

Is the service confidential?
Yes – 100%, no-one will know that you have contacted Wellbeing in the Arts, or what support you have received.
How long does it take?
All enquiries will be responded to within 48 hours, and sessions with a Counsellor or Coach will begin within one week.
What can I get help with?
You can speak with Wellbeing in the Arts about any issue, whether it is related to your personal or professional life.
Will the person I speak with understand the work I do?
Yes, everyone at Wellbeing in the Arts, whether it is the person who responds to your initial contact, or the Counsellor or Coach that you are paired with, has a background in the Creative Industries so fully understand the unique challenges of working in our industry.
Can I choose who my counsellor or will be?
As part of the assessment process, you can choose what type of Counsellor or Coach you would like to work with in terms of their gender, ethnicity, age range, sexuality, specialisms, etc.
Wellbeing in the Arts will pair you with a Practitioner that meets your preferences.
When will my sessions be?
You will be able to arrange your sessions around your work and personal commitments, and although it is recommended that you find a regular slot, the team at Wellbeing in the Arts understand the changing work patterns in our industry and will do everything they can to accommodate you.
What if I would like to access financial, legal or practical advice?
If you would like to access financial, legal or practical advice, you just need to contact Wellbeing in the Arts and they will put you in touch with one of their specialists.
What if I would like to access longer-term support?
If you would like to access longer-term support after your six sessions have finished, you would be able to do so with the same Counsellor or Coach but must cover the costs yourself. Wellbeing in the Arts will walk you through how it works at the appropriate time.
Full Terms
- Dates of engagement(i) Wellbeing in the Arts will deliver mental health and wellbeing support to the Organisation’s eligible members and employees between the dates of Saturday 1st February 2025 and Saturday 31st January 2026.
- Eligibility(i) Support will be made available to any individual (aged 18 or over) who is:
a. an active Spotlight member;
or b. an active Tagmin member;
or c. an employee of Talent Systems Europe Ltd (be it on a part-time or fulltime contract)
And is:
d. a resident of the United Kingdom, Channel Islands, Isle of Man or the Republic of Ireland; or, e. working temporarily in the United Kingdom, Channel Islands, Isle of Man, or Europe (defined as a country which is a member of the EU, EEA or EFTA).(ii) If an individual has begun the process of accessing support when their membership or period of employment ends, they are entitled to complete their current block of sessions but are not able to access any further support in the same calendar year, until they renew their membership, are reemployed by the Organisation, or explicit written permission has been given by the Organisation. - Provision of support(i) Through the Service Provider’s Employee Assistance Programme (EAP), every individual eligible for support will have access to:

- up to SIX sessions of counselling or coaching per twelve-month period from the date of this agreement
- financial, legal and practical advice
- mental health and wellbeing workshops, talks, and events (including those provided exclusively for Spotlight members and staff)
- printed resources, such as leaflets, flyers and posters that include information on the Service Provider, how support can be accessed, etc
- online resources (videos, podcasts, worksheets, PDF’s) that cover a range of topics including the common signs and symptoms of poor mental health, tips to improve self-care, build resilience, etc.
(ii) The Service Provider will run annual wellbeing assessments that allows them to assess and track the mental health and wellbeing of the Organisation’s members and employees. No personal data such as names or contact details will be taken or recorded.

Introduction to support
(i) The Service Provider will run a series of introductory online presentations on the support available to members on mutually arranged dates, this is an opportunity for the Service Provider to present information on who they are, what support is available, and how it can be accessed, etc.
(ii) The Service Provider will run an in-person introduction to the support available to staff members on a mutually arranged date.
(iii) The Service Provider will also visit the Spotlight UK offices on three additional occasions during the period outlined in 1
(iv), these visits will be an opportunity for members of staff to find out more about the support available, book a 1: 1 session, etc. The dates of visits will be arranged in conjunction with the Organisation.

Counsellors
(i) All the Counsellors used by the Service Provider are based in the UK and registered with the British Association for Counselling and Psychotherapy (BACP) and / or the United Kingdom Council for Psychotherapy (UKCP). They each adhere to the code of ethics stipulated by their respective governing bodies, further information can be found at www.bacp.co.uk and www.psychotherapy.org.uk.
(ii) All the Counsellors hold their own personal liability and professional indemnity insurance.
(iii) Counsellors are required to undertake supervision with a professionally qualified clinical supervisor in which they may discuss some details of their work with members or employees of the Organisation. This is to ensure that an ethical and professional service is provided for clients, and their anonymity will be maintained throughout.

Coaches
(i) All the Coaches used by the Service Provider are based in the UK and have undertaken certified coaching courses in their specialised areas.
(ii) They all hold their own personal liability and professional indemnity insurance.

Sessions
(i) Each counselling or coaching session will last for 50 minutes.
(ii) Sessions will start within one week of an individual making a request to access support (earlier in cases of urgent need).
(iii) The Practitioner will arrange sessions around an individual’s work and personal commitments, meaning that sessions do not have to be at the same date and time every week, although they can be if preferred.
(iv) For online sessions, it is the responsibility of both the client and the Practitioner to ensure that they are in a confidential environment with good signal and internet connectivity.
(v) Individuals are expected to arrive punctually for their sessions, if they arrive late, the session will still end at the scheduled time (unless advance notice of a later arrival has been given or there is exceptional circumstance).
(vi) If an individual is unable to make their scheduled session, they must let the Practitioner know no later than twenty-four hours before the session is due to begin, failure to do so (or if there are no exceptional circumstances) may result in a missed session, which will still incur the appropriate fee and will be deducted from their block of sessions.
(vii) If two appointments are missed in succession without sufficient notice, or without significant reason, then the Practitioner may choose to review their relationship with the individual. In the occurrence that a Practitioner feels that they can no longer work with the client, the client will be referred to ourselves.
(viii) If the Practitioner is unable to make a scheduled session, they will let the individual know with as much notice as possible. Any sessions missed due to the Practitioner’s unavailability will be rescheduled and will not be deducted from the block of six sessions.
(ix) If, at any point within the six sessions, an individual does not feel that their Practitioner is the correct fit, they are encouraged to let the Service Provider know so that they can source an alternative Practitioner. Any sessions already undertaken with the original Practitioner will be deducted from the block of six sessions that is carried over to the new Practitioner.
(x) Sessions do not have to be taken in one block and can be accessed either individually or on an ad hoc basis across a twelve-month period.

Accessing Support
(i) To access support, individuals will be asked to complete the following steps:

- contact the Service Provider directly via email, telephone, WhatsApp, or text message
- read the ‘How our mental health and wellbeing service works’ document, which outlines how the process will work, how the Service Provider will protect an individual’s privacy and confidentiality, etc.
- complete a short online assessment form, which will allow the Service Provider to better understand an individual’s background, circumstances, and preferences in terms of which Counsellor or Coach they would like to work with
- review a standard agreement provided by their allocated Counsellor or Coach (all Practitioners use the same agreement), which outlines the policies and procedures around their work together, including privacy and confidentiality, how to alert the Practitioner if they cannot make their session, etc.
